Web interface and reports questions
I've got a Definity PBX version - G3V9i.02.0.033.2 +Definity Audix system R3.1
I'm looking to do 2 things. First I'd like to be able to interface the directory through our intranet page as many of our phones don't have displays... is this possible in realtime via an add on card or some sort of data module? I have found a way to export the list but I'd rather not have to do it every coupe of days to keep it up to date. 2nd is there a report I can run to show all the changes made in the last "specified period of time" so I can give reports to those people that want to know every change made in the system - finance - secratary - guards - and HR all want that info. Right now I have to remember to email them all with every PBX change - which i forget 50% of the time. Would be nicer if I could send a weekly or bi-weekly report reflecting all changes. Thanks for the knowledge transfer - i've had to learn this system completely from scratch with only a "basic admin little book" to learn from. |

If you are using the directory from the Intuity it will speak at you, it is an automated attendant funtion. For example you choose "smit", the Intuity will say "press 1 for John Smith, press 2 for Joe Smith, press 3 for Jane Smith, etc".
I do not know any way to get the directory on your Intranet as a live function from the switch. If someone else does come up with a way to do it, you will need a TN799 CLAN to interface with your LAN. There is also some IP programming that will need doing. As to what has been changed, you could do a "list history" and this will show all changes that were done. It will not tell you exactly what, just that something was changed. For example, the history would show that login xyz did a change station 3456 on January 28 at 8:15 PM but it will not show what was changed, just that something was changed, what login did it and when they did it.

On each phone that has a display I have a 3 buttons. Directory, Next and Call-Display. From their phone people can find anyone by hitting directory, spelling the last name, hitting next to scroll through a list of names, and hitting call display when they find the person they want to call.
I can't give that funtionality to a analog phone (because it doesn't have a display to read), but what you mentioned about a verbal prompt to dial a name is interesting. Would my built-in Definity Audix system R3.1 have that functionality? If it does it's currently not being utalized in any shape or form. |

You will not be able to use the directory button on the phone for this, it is an automated attendant feature in the Intuity.
Build an extension in the switch with coverage to voice mail, leave that station as an X-port. In the Intuity add the subscriber and go to the second page and change the addressing format to "name" and call type to "auto-attendant" (from call-answer), this will give you a third page. Go there and on 2-9 for the extension field put "e" and in the treatment field put "transfer". You should provide a timeout destination also. Call the voice mail and login as the new number you created and record a greeting telling people to use the phone dialpad to enter the first four characters of the person's last name and make that the active greeting. You must put a recording on it to test it. If you make the number a DID it also will work remotely. Anyone who needs directory assistance now will call the Intuity for it. A couple of caveats here, all names need to be typed into the Intuity in the same format either "first name, last name" or "last name, first name". If all the entries are "first name, last name" your greeting needs to tell the caller to dial the first four characters of the first name since the Intuity looks at the name field of the subscribers. If you have twenty people named John there will be a problem. I recommend "last name, first name" for that reason. The other caveat is you are using voice channels in the Intuity for this thus increasing that load, if they are in short supply some callers may not be able to get to the Intuity. People that have a display phone will still be able to use the directory button they currently use if they want to.

About the directory, we use ASA to export the hole list of extensions every night. That file is imported to a database wich is queried by the .asp pages. So, we have our list updated daily. You can change that interval from the ASA and have your list updated when you want.
